How Defiance College Reached 100 Percent Housing Form Compliance and Cut No-Shows

TL;DR

When student no-shows come from a buried email, one well-timed text after the invite fixes them, as long as students opted in themselves. Defiance College pairs a formal email and calendar invite with a reminder text, and conduct meetings that once had a 50 percent no-show rate now see nearly every student show up the first time. Housing forms reach 100 percent completion, and students opt out fewer than six times a year.

  • Conduct no-shows down from 50%
  • 100% housing form compliance
  • Fewer than six opt-outs a year
  • Used across student-facing offices

At Defiance College, half the students called to a conduct meeting used to miss it. Now staff send three things: a formal email, a calendar invite, and a scheduled reminder text. Nearly every student shows up the first time.

Defiance is a private liberal arts college in Ohio built around a high-touch, student-centered experience. It adopted Mongoose in fall 2019 for admissions, then expanded it across campus. Today Mongoose Text carries nearly all of Defiance’s student communication, and students see it as a primary channel.

Why Student No-Shows Kept Happening

Before Mongoose, important messages about conduct meetings, housing sign-ups, and registration often went unread in email. Staff leaned on emails, phone calls, and voicemails, which overwhelmed front desks and slowed response times.

There was also no central way to track communication or segment students by location, enrollment status, or need. Departments worked in silos, and the college needed one platform for both one-to-one and group outreach that stayed consistent and compliant.

How Defiance Built Texting Into Campus Life

Admissions started using Mongoose in 2019. Seeing the need for campus-wide reach, Defiance moved to an enterprise contract just ahead of the COVID-19 shutdown, and that timing proved critical. Staff across Student Affairs, Residence Life, and Housing Operations began texting students in real time.

Opt-In at Orientation, Every Year

Incoming students learn about texting at orientation and opt in manually each year, which gives Defiance near-universal participation from the start. Orientation does double duty here, which fits the idea that orientation is the first retention strategy.

“We get fewer than six opt-outs a year, and most of them are by mistake.”

Lisa Marsalek, Vice President for Student Affairs and Dean of Students, Defiance College

Segments That Keep Messages Relevant

Departments built detailed Segments, like students in a specific residence hall or graduating seniors, and standardized their workflows. Shared inboxes cover for staff who are out, and scheduled texts handle birthdays, reminders, and follow-ups without anyone sending them by hand.

What Changed for Defiance Students and Staff

Conduct Meetings: From 50 Percent No-Shows to Nearly All Attending

Conduct meetings had a 50 percent no-show rate before Mongoose. With the email, calendar invite, and reminder text working together, nearly all students now show up the first time.

Housing Forms: 100 Percent Compliance

Students now respond promptly to housing assignments, roommate agreements, and room selection. Text reminders close the gap for students who miss the email.

“Housing form completion is no longer a guessing game. We reach 100% compliance because we can track and follow up quickly.”

Noel Barrera, Assistant Director of Housing Operations, Defiance College

Earlier, Clearer Retention Planning

With better communication and follow-up, staff know who’s returning, who has withdrawn, and where housing needs to go, early enough to plan.

“We don’t get surprised over the summer anymore. We know who’s coming back before spring ends.”

Lisa Marsalek

Visibility like this matters most in the summer, when gaps in the follow-up plan drive melt.

One Platform Across Student-Facing Offices

Mongoose is used in nearly every student-facing department at Defiance: Residence Life and Housing, Student Conduct and Student Affairs, Academic Support Services, Student Accounts, Registrar and Career Services, and Admissions and Enrollment. Each uses it differently, from birthday messages to housing updates and registration nudges.

“Texting is now our primary communication tool. It’s integrated into everything we do, from move-in to graduation.”

Noel Barrera

What Other Student Success Teams Can Take From Defiance

Ask students to opt in themselves at orientation, so texts arrive as something they agreed to. Follow every formal invite with a short reminder text. And build Segments by hall, class year, or special population so each office sends only what a student needs. Other colleges have built similar campus-wide models. Dutchess Community College coordinated four departments on Mongoose and raised admissions texting volume 133 percent while opt-outs dropped, and Onondaga Community College has about 50 staff texting students as real, named people.

Looking Ahead

Defiance plans to bring texting into even more touch points across the academic year. Housing and Residence Life will keep refining Segments and support plans, and Academic Support Services is exploring texting for proactive outreach.

“Especially for small schools, this is the tool that helps you work smarter and faster.”
